6.2.1 Offi ce equipment
Before starting your own business, you must determine your office equipment requirements. This is an important part of planning that you will need to run your business successfully. You must not forget that office equipment must be budgeted for in your financial plan. The type of office equipment depends on the type of business that you are going to start. However, the following equipment might be of relevance to you.
1 Computer system
The personal computer can be a big help to any new business. The important part of a computer is the software (the programmes you use on your computer). There are four main categories of software, the first being the word-processor. This will enable you to type letters and reports. The second category is spreadsheets. This is for the businessperson that needs a lot of calculations and possibly graphs for presentation purposes. The third category of software is databases. This is useful for storing, sorting and retrieving data.
The last category is that of specialised programmes for specific tasks. Included are programmes that are designed to assist the small entrepreneur in the financial management of the business. These programmes are extremely user friendly, aimed at helping the person with little or no accounting background to manage the business financially.
2 Cash register The basic purpose of the cash register is to keep a record of cash taken over the counter and to keep the money relatively safe until collected. Modern cash registers can be linked to computer software packages for inventory control. The benefit of a cash register is that it produces a cash slip immediately. Your daily sales are also added up automatically for record purposes.
3 Furniture
A functional office requires a whole range of furniture depending on the nature of the business. Tables, desks, chairs and filing cabinets are those found in almost every office.
Office equipment can make things much easier for the new entrepreneur. Equipment needs of businesses vary from business to business.
